1. What is the role of a chaperone at the Conference?
- Chaperones play a vital role in ensuring the safety, well-being, and positive experience of the participants. Responsibilities include supervision, support, guidance, and assistance with logistical aspects.
2. How can I prepare for the conference as a chaperone?
- Attend the in-person chaperone orientation in May. For meeting details, reach out to Aren Apley here.
- Familiarize yourself with the conference schedule, emergency procedures, and any specific guidelines provided by the organizers. Ensure you have contact information for key personnel.
3. What are the age groups of the participants, and how many girls will I be responsible for?
- Participants are 7th to 12th graders. The number of girls assigned to each chaperone may vary but will be communicated to you in advance.
4. Will there be any training for chaperones?
· Yes, there will be a chaperone orientation in May. This will cover essential information, emergency procedures, and address any questions you may have. For meeting details, reach out to Aren Apley here.

5. What should I do in case of an emergency?
- Familiarize yourself with emergency exits, first aid locations, and contact information for emergency services. Follow the established emergency protocols and report any incidents promptly. You may be asked to complete an incident report.
6. Can I be assigned to my own child/troop at the conference?
- Chaperones are expected to focus on the participants they are assigned to. Chaperoning your own child/troop may hinder their conference experience but will be decided on a case-by-case basis.
7. How will I communicate with other chaperones and organizers during the conference?
- Communication channels, such as radios, group messaging apps, and scheduled meetings, will be provided to ensure effective communication among chaperones and organizers.
8. What should I do if there is a behavioral issue among participants?
- Address behavioral issues calmly and professionally, following the guidelines provided during the orientation. Report significant issues to the designated point of contact. You may be asked to complete an incident report.
9. Are there any dress code requirements for chaperones?
- Dress comfortable and appropriate for the weather.
- A pair of comfortable walking shoes.
10. Will there be downtime for chaperones, and are there designated rest areas?
· The conference schedule allows for designated breaks. Rest areas and downtime will be communicated, allowing you to recharge during the event.
